Care Coordinator/Care Admin - Domicilary Care Office
Salary: £25,000.00 - £29,500.00 per year
The Care Coordinator (Workforce & Scheduling) is responsible for ensuring sufficient staffing levels to deliver safe, consistent domiciliary care services.
The role focuses on rota management, workforce planning, training compliance, and supervision tracking to ensure operational stability and regulatory compliance.
The postholder will support care assistants to ensure continuity of care and maintain high standards of service delivery.
Key Responsibilities
Workforce Planning & Staffing Levels
- Ensure all care visits are fully staffed at all times.
- Monitor staffing capacity and identify recruitment needs.
- Respond promptly to sickness, annual leave, and emergency cover requirements.
- Maintain strong continuity between care assistants and service users.
Rota Management
- Produce and finalise weekly rotas in a timely manner.
- Allocate care assistants based on skills, availability, geographical location, and compatibility.
- Monitor rota efficiency and travel time to ensure safe scheduling.
- Review missed or late calls and address concerns immediately.
- Ensure rotas are compliant with Working Time Regulations.
Training & Compliance Monitoring
- Monitor mandatory training expiry dates.
- Ensure all care assistants are compliant with required training before being allocated shifts.
- Liaise with management to schedule refresher training where required.
- Track probation reviews and competency assessments.
Supervisions & Spot Checks
- Maintain a supervision tracker to ensure all care assistants receive regular supervisions.
- Schedule and coordinate spot checks and field observations.
- Escalate performance or conduct concerns to the Registered Manager.
- Support documentation and filing of supervision records.
Staff Support & Communication
- Act as a key point of contact for care assistants regarding rota queries.
- Provide day-to-day operational support to the workforce.
- Maintain professional communication with families when necessary (primarily regarding staffing updates).
- Escalate complaints or concerns appropriately.
Essential Requirements
- Minimum 3 years experience in Health & Social Care.
- Experience working in domiciliary care.
- Strong understanding of CQC standards relating to safe staffing.
- Experience using electronic rota and care planning systems.
- Excellent organisational skills and attention to detail.
- Ability to work under pressure in a fast-paced environment.
- Strong communication skills.
- Competent in Microsoft Office and digital systems.
Desirable
- NVQ Level 3 (or equivalent) in Health & Social Care.
- Experience in staff supervision or field-based quality monitoring.
- Knowledge of employment compliance requirements within care settings.
